OHPC Archive Project
Status Report
Overview: The Museum Archive Software will be the basis for digitally storing all Otsego historical
documents collected, including photos, recordings (such oral histories), diaries, newspaper clippings,
and other miscellaneous items we can scan. The Archive Project will fulfill OHPC's mission to preserve
and communicate Otsego history.
Project Steps:
1. Develop and structure Museum Archive Software to meet the needs of the Ostego Heritage
Preservation Commission.

2. Develop a cost-effective portable method for adding, updating, and correcting documents to the
OHPC Database.
- Completed: Use 500GB SSD with software program installed; use bit lock password for
security
3. Create Folder Structure in OHPC Database: The Museum Archive Software can be structure so a
high level, or hierarchy, can be created, which is a "folder." In the folder, you can place an
object. Objects are documents collected such as photos, recordings, videos, newspaper
clippings, diaries, etc. The folder is labeled such as McDonald, Joe, and link to this folder would
be, let's say, McDonald Farm (Picture), Joe McDonald (Picture), Mary McDonald (Picture), etc.

4. Enter Documents: Each document enter requires a certain amount of information. I am
currently using Chris Wilson's book "Images of America Otsego" as all the pictures in the book
are on DVDs and I use some of her information to annotate the photo. However, we have many
pictures that do not have documentation and many duplications, and further, many images are
of poor quality. Once entered into the database, the document or photo needs to be linked to
the proper folder or folders.

5. Database Link to City Web Site and Searchable: This will be the final step in this project. Once
we entered enough documents and pictures, we can work with the city web developer and,
fingers cross, open this up to the public.
