City staff recommends approval of a 60 month lease with Ricoh in the amount of $91.00 a month for a
black and white copier for City Hall.

BACKGROUND/JUSTIFICATION:
The downstairs black and white copier lease with Minnesota Copy Systems is due up. When we
originally leased that copier it was a copier located at Public Works with minimal use; since our office
relocated to the Public Works building this is the main copier for our departments downstairs. City staff
is recommending upgrading our current machine to a new model with higher performance and has
stapling capability. I received two proposals, one from MN Copy Systems and one from our Ricoh
Representative which we currently lease our color copier through. The lowest proposal and the one
recommended by City staff is the 60 month lease from Ricoh for a black and white MP 3353SP:
Lease $91.00 a month
Supplies included (toner, staples)
B/W copies at .007 per copy
Funds were budgeted between the Administrative and Building Safety Departments to cover this cost.
The Administrative Subcommittee reviewed this on February 12, 2014 and recommends approval.
