Item 3.3 Forklift Purchase Request for City Council Action DEPARTMENT INFORMATION ORIGINATING DEPARTMENT REQUESTOR: MEETING DATE: Public Works Street Operations Manager Lamson February 24, 2025 PRESENTER(s) REVIEWED BY: ITEM #: Consent City Administrator/Finance Director Flaherty 3.3 – Fleet Purchase STRATEGIC VISION MEETS: THE CITY OF OTSEGO: Is a strong organization that is committed to leading the community through innovative communication. X Has proactively expanded infrastructure to responsibly provide core services. Is committed to delivery of quality emergency service responsive to community needs and expectations in a cost-effective manner. Is a social community with diverse housing, service options, and employment opportunities. Is a distinctive, connected community known for its beauty and natural surroundings. AGENDA ITEM DETAILS RECOMMENDATION: City staff is recommending the City Council approve a fleet vehicle purchase. ARE YOU SEEKING APPROVAL OF A CONTRACT? IS A PUBLIC HEARING REQUIRED? No No BACKGROUND/JUSTIFICATION: The 2025 Fleet Capital Improvement Plan (CIP) includes the purchase of a used forklift. City staff currently meet lifting needs by either using the skid loader with forks or the mini loader with forks. These two pieces of equipment are often being used on projects throughout the City and with deliveries happening on a more frequent basis, a forklift would be a very useful asset to have. A forklift available at the shop would allow more efficient receipt of shipments. It would also provide a safer way to load and unload deliveries and place them on the pallet racking. Staff have been looking at multiple used machines that have been reconditioned. The reconditioning process includes examining the entire machine’s mechanical system and confirming it meets factory specifications, repainting the entire vehicle and installing a new seat and tires. This reconditioning process is typical of a machine that has approximately 1,500 hours on it and has a lot of life left in it. Staff have requested used equipment quotes from Atlas Companies on a reconditioned 5,000 lb. Toyota 8-Series pneumatic forklift or something similar in size. Atlas Companies provided a quote of $27,900 for a reconditioned unit. The CIP included funding in the amount of $22,000 for this individual item. The Revolving Capital Equipment fund budget in aggregate is currently under budget by an amount of $26,884 for 2025, which would absorb the budget overage for this item. There is one additional fleet item budgeted for 2025, and staff is confident that it will be within the budgeted amount within the CIP. The Public Works Subcommittee was presented with this information at their February 19, 2025, meeting and recommended consideration of approval by the City Council.
