Recommend authorization to proceed with remodeling the building inspection and administration
departments' work area.

BACKGROUND/JUSTIFICATION:
The building inspection and administration reception area in City Hall was originally designed to
accommodate two staff members when City Hall relocated to this building in 2012. Since that time,
another staff member has been added to assist with building permit activity and general reception
duties. Further, building permit activity has increased substantially requiring additional building
inspectors and additional file/work space.
Because of the increased building permit activity, an additional staff person was added, and it then
became apparent that modifications to the workspace were necessary to alleviate the cramped,
ineffective work area created by adding a third person to an area designed for two. The situation was
was further compromised by the increased volume of plans and paperwork that flow through this area.
Grady Kinghorn and Kinghorn Construction assisted staff in developing several remodeling options. All
options were considered with effectiveness, cost, employee needs, and long-term use as priority
considerations. The recommended option is to remodel and relocate the counter to create one counter
with two building inspection department workstations and a handicap counter and a second counter
with two workstations for administration. Copies of the existing layout and the proposed modification
are attached. The construction cost of this option is $11,573.00 as quoted by the company that
constructed the existing counter. This quote includes installation but excludes floor tile repair, rewiring,
and security additions. In total, the project may reach $15,000 depending upon the extent of
miscellaneous work needed. Funding for the remodeling project is recommended from the General
Fund building inspection department budget. The Administrative Subcommittee reviewed this project
at the September meeting and recommends Council approval.
Finally, as the City continues to grow, future remodeling may be required before expansion of this
building or construction of a new Citv Hall occurs. Additional next phases include removing or movin
office walls and eliminating the main floor conference room, all of which staff wanted to avoid until all
f other options were exhausted.
